  • Integrated Data Sciences – We’re pursuing advanced data sciences to create novel end-user inspired solutions that address complex analysis, simulation, and prediction across the translational sciences.
  • Enabling Technologies – We’re building a rich platform of enabling technologies that give our scientists, partners, and collaborators access to the best tools to solve complex scientific problems.

The Position:

We are seeking an Accounting Assistant as a fixed duration employee (FDE) for a 1-year assignment.  This position has responsibility for accounts payable and other accounting back-office responsibilities. The position reports to the Controller.

The Accounting Assistant FDE will join the institution at an exciting moment in its history, as it celebrates its success as the anchor tenant of 16Tech, the institute is also transforming all aspects of its work to meet the unmet needs of diseases that affect patients everywhere.

Responsibilities:

  • Accounts Payable
    • Process vendor bills including PO and non-PO invoices
      • Review PO invoices, add freight as needed, route 3-way match variances to correct approver within Tipalti.
      • Process non-PO invoices and route for approval within Tipalti
    • Review vendor setups within Tipalti for tax compliance, vendor portals, banking, etc.
    • Review all open POs in NetSuite, close out old POs, review to obtain AP invoices for received POs
      • Review based on Projects to ensure receivers are matched to funded projects in a timely manner
    • Review vendor statements; determine necessary actions based on communications with vendors
  • Accounts Receivable
    • Perform Member Billing process on a monthly basis
    • Invoice for Event Space activity in coordination with Event Coordinator
      • Provide online payment options to ‘customer’ as needed
    • Review collections and ensure payments are timely from customers
  • Account Reconciliations
    • Reconcile AP, AR, and bank accounts
    • Debit and/or Credit card reconciliations process
      • Manage online / auto payments that are needed to be reviewed and reconciled
    • Assist with Vendor management (i.e., contract in place, terms, etc.)
    • Account Reconciliations
  • Other activities
    • Assist with data gathering for audits, regulatory reporting and internal and external reporting.

Key Requirements:

  • Associate's degree in accounting with minimum of 5 years of experience in accounts payable.
  • NetSuite experience required.
  • Strong accounting skills and attention to detail.
  • Comfortable working across departments, with outside collaborators and working effectively as part of a team.
  • Ability to bring innovative thinking and solutions to address challenges, in a positive manner.
