The Opportunity:

The Post-Award and Compliance Consultant is responsible for the comprehensive management of post-award activities, including financial monitoring, reporting, and business support services for Scientific Staff and Principal Investigators. This role ensures effective stewardship of grant and sponsored research funding throughout the award lifecycle.

With a strong emphasis on cross-functional collaboration, the Consultant partners with internal stakeholders to provide guidance on budget management, expenditure tracking, and compliance with institutional policies and sponsor regulations. A deep understanding of financial controls and regulatory requirements is essential to ensure accountability, mitigate risk, and support successful research outcomes.

Responsibilities:

1. Post-Award Administration:

  • Manage post-award activities for externally funded grants, contracts, and gifts, including Institute-funded direct costs.
  • Oversee the application and reconciliation of indirect costs on grants.
  • Monitor fund statements, resolve accounting discrepancies, and serve as the primary liaison with grantor agencies and subcontracting institutions.
  • Maintain and update financial forecasts for completed grants and sponsored research.
  • Ensure post-award operations comply with federal financial regulations and internal policies.
  • Lead the Institute’s response to external, government, and single audits.
  • Prepare and manage annual negotiated rate financials and supporting schedules.
  • Generate internal financial reports and statistical data to support compliance and decision-making.
  • Regularly review and update IBRI policies and operating procedures to align with evolving regulations.
  • Establish and implement departmental policies, quality standards, and internal controls.
  • Lead training and communication efforts to ensure organization-wide understanding and adherence.
  • Develop and execute an annual monitoring plan for internal controls.
  • Oversee internal and external post-award reporting to maximize reimbursement of institutional investments.
  • Collaborate with Project Manager, Controller and Scientists to ensure financial and regulatory compliance aligns with project goals, timelines, and deliverables.
  • Monitor and report on financial performance, identifying risks and recommending corrective actions.
  • Support decision-making by providing insights on budget, compliance, and resource allocation.
  • Maintain audit-ready documentation to ensure transparency and accountability throughout the project lifecycle.
  • Provide cross-training and backup support for month-end, quarter-end, and year-end accounting activities.
  • Identify and implement opportunities to enhance the efficiency and effectiveness of grants and contracts administration.
  • Collaborate with IT, Finance, Lab Managers, Project Management, and Scientific Staff to streamline workflows and adopt best practices.

Qualifications:

  • Bachelor's degree in accounting and CPA required.
  • 3+ years of experience in grants and contracts administration or a related field.
  • Demonstrated results in contract management and process improvement.
  • Proficiency in computer applications, including databases and spreadsheets.
  • Strong scientific literacy and problem-solving/decision-making skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to partner effectively cross functionally.
  • Experience in a non-profit organization is preferred.
